Onboarding Checklist

When onboarding a new hire, there are numerous tasks that need to be done.  To make sure nothing is forgotten, it’s smart to prepare a basic checklist.  Below is a list of things that should be done in preparation for a new employee: Before the new hire’s first day:
  • Set-up the new hire’s office/desk
  • Gather necessary software/hardware for the new hire
  • Set-up an email address for the new hire (and add it to the company database)
  • Set-up a phone/voicemail for the new hire
  • Set-up a time-sheet for the new hire
  • Prepare parking permit paperwork (if applicable) for the new hire
  • Schedule employee photo (for badge) for the new hire
  • Gather benefits & payroll paperwork for the new hire
  • Have the hiring manager and/or team leader email the new hire to welcome him/her
  • Identify an appropriate employee to be the new hire’s coach/mentor
During the new hire’s orientation:
  • Make sure the new hire understand his/her benefits
  • Make sure the new hire understands what is expected of him/her
  • Answer any of the new hire’s questions regarding the position
  • Make sure the new hire knows how to use the basic tools to do his/her job successfully
  • Give the new hire a tour of his/her office and building (introducing to team members and other staff)
  • Make sure the new hire has signed all the required paperwork to begin working
  • Arrange for the hiring manager and/or team leader to meet with the new hire after orientation

Steps for Success (onboarding for Interns)

Like any other onboarding process, the experience for Interns should be positive and productive.  If your onboarding program is successful, your Inters will feel valued and satisfied, become some of your best full-time employees in the future, and benefit your company in a very big way. Steps for Success: 1 – FIRST IMPRESSIONS: Interns accept positions months before graduation.  They see your program as an opportunity to grow as a professional.  Begin the onboarding process weeks in advance, giving them time to meet employees, ask questions, and to see your company as a great place to work. 2 – COMPANY CULTURE:  Organize a time with the Intern to come to the company for a visit.  Introduce them to the rest of your staff.  Give them a chance to see the company culture, the business in action, the employees hard at work, and your relationship with the team as a whole. 3 – ALWAYS CLARIFY:  Make sure the Intern knows what he/she is expecting to get out of the internship.  Make sure the manager who works with the Intern knows what he/she is expecting to get from the Intern.  Create a work plan with weekly goals, so there is more than just oral clarification. 4 – BE READY TO LEARN:  There are Interns who may have skills that you do not.  Be prepared to learn.  This will benefit your development and make them feel valued and included. rsz_2018-headshotActionCoach-logo

Good Communication = Business Success

Good communication isn’t just about solving conflicts in the workplace, it’s also about building relationships and building a successful business. Good communication helps employees feel heard.  Good communication makes information easy and clear to understand.  And good communication makes people better listeners.  All of these lead to higher customer satisfaction, happier employees, and increased revenue. When employees feel disrespected, or disregarded, there is often tension or conflict that follow.  If there is good communication within the team, employees can express their needs easier.  This leads to increased performance and higher employee engagement.  This also improves connections between team members, leading to a more positive work environment. Good communication helps create better client relationships.  Communication is different between satisfied and unsatisfied customers.  If employees are trained to communicate effectively, they will be better equipped to handle client relationships.  This leads to happier customers, which also means profits increase. Good communication helps build a better company culture, increases sales and production, enhances employee engagement, and creates a positive environment for innovation. Wellness in the Workplace

Would you like to create a healthy culture at work?  Then it’s time to create a health and wellness program for your employees.  When incorporating the following ideas into an organized and structured wellness program, your employees’ health with improve and healthcare costs will go down.
  1.  Prepare a list of healthy dining options close to work.  This way your employees can plan a healthy lunch schedule and even walk to whichever dining option they choose.
  2.  Instead of having break rooms filled with bags of chips and cookies, have fresh fruits and vegetables delivered for employees to eat for free.  Or have a healthy food fund where each employee contributes a certain amount of money each month for healthy workplace snacks.
  3. Provide a bike rack so employees can bike to work.  Include some kind of incentive for those who bike to work more than others.  Have a contest to see who bikes the most to work, with a gift-card for the winner (to a healthy restaurant or for a gym membership).
  4. Challenge your employees to take the stairs (if applicable).  Encourage them to count their steps.  Maybe have a contest for the employee who walked the most steps in a month.  And again, give a tangible (healthy) gift to the winner.
  5. Negotiate corporate discounts for health club or gym memberships in the area.  Employees love discounts on products and services, and it encourages exercise.
  6. Start a smoke-free policy.  Go one step further by providing resources to help smokers quit.

Best Onboarding Process for New Hires

Employees leave the workplace for many reasons, some that can be resolved if the new hire is set up to succeed from the start.  That is why the onboarding process is so important. Here are some helpful ideas you can start implementing right away in your business: 1 – Contact the new hire before they start.  Make sure someone is reaching out to them between their accepted offer and their start date.  Perhaps even something as small as having their new manager call and give a brief introduction.  Or have HR email them a simple reminder of their start day/time with first-day instructions.  Either of these can help the new hire feel they made the right choice. 2 – Set up a portal for the new hire.  Give them online access so they can start learning about the company or fill out important forms before they start.  You don’t want them to spend their entire first day filling out paperwork. 3 – Good first impressions will make their first day memorable.  Take them on a tour of the building.  Introduce them to other employees in the same department.  Have their desk ready with everything they need and maybe a small welcome package.  Schedule a lunch with their new manager. 4 – Assign them a mentor who works in the same department.  This gives them a go-to person in case they have questions, comments, or concerns.  Make sure the mentor demonstrates leadership skills. 5 – Set defined expectations.  Ensure the new hire knows his/her new responsibilities and is familiar with the company’s vision/goals.  Communicate clearly with the new hire and make sure their manager checks in with them often to see how things are going. rsz_2018-headshotActionCoach-logo

Can you sell open opportunities to top-talent job seekers?

If you’re looking for top talent for your company, you will need to stand out from your competition and make a great first impression.  In most cases, you have a limited amount of time to sell your opportunity to a job seeker, so how can you entice someone to join your team? Have an elevator pitch prepared.  That’s right, it’s not just for job seekers.  It’s also for employers who need to impress quality workers.  Your pitch should be no longer than 1-minute in length. Focus on the top selling points to keep job seekers engaged and excited. Here are a few things to add to your pitch:
  • Share any career growth opportunities.  What does that look like at your company? Many job seekers don’t have a way to grow within their current companies, so they look elsewhere.  Tell them how you invest in your employees.
  • Explain your employee benefits.  Share information about healthcare, vacation time, employer-provided education benefits, and any other benefits that might put your company first on their list.
  • Brag about your company culture.  If you have an amazing culture and positive employee morale, brag about it.  Share stories of past parties or upcoming events that will make the job seeker want to be a part of your company.

The holidays are the perfect time to bring team-building activities to any company.  They help relieve stress and teach employees to work together more effectively. Here are some fun team-building activities: – Divide employees into teams.  Challenge the teams to raise money or items for charity. Tips to Build a Great Company Culture

All business owners want their employees to love coming to work.  Employees should not dread their jobs every day.  They should find it very hard to leave, but that’s not always the case.  Most of this is because of workplace stress, created by leaders, co-workers, or challenging projects.  Company Culture should ease some of this stress because culture is supposed to sustain employee enthusiasm. Here are some tips to help business owners build a great company culture: 1 – Hire only people who fit into the current company culture.  Many qualified individuals may have a solid performance, but if their attitude clashes with the company culture, it can be detrimental to the business. 2 – Make sure all employees are in line with the company’s values and mission.  Those who are passionate about what the company is doing, become more dedicated and strive harder to accomplish goals. 3 – Help the team members feel like they’re part of a team, not just an individual.  Individuals can break down during conflicts and become ineffective.  Team members work together and work best when they are feeding off each other.  Teams get things done! 4 – Allow all the team members to help in decision making.  If employees just go to work and do what they’re told, they are only helping someone else achieve their dream.  Involve all employees in making company decisions.  They want to have a voice that creates meaningful impact within the company.   rsz_2018-headshotActionCoach-logo

Being an Effective Team Leader

Team leaders need to manage teams who have been brought together to focus on specific projects, due to their individual skill levels and expertise.  They must recognize the different contributions each team members brings, and allow all members to work out their differences. Team leaders need to lead their team towards a common goal. Here are a few essentials a team leader must posses to lead a successful team:
  1. Team leaders must look ahead, for their teams and their companies.  They must set clear objectives and find the ideal team members with the right skills.
  2. Team leaders must develop cultures where ideas and arguments are accepted.  Team members should be allowed to have a significant impact on the team, with leaders recognizing qualified individuals for problem solving.
  3. Team leaders need to use conflicts as constructive criticism.  They need to be approachable, be prepared to listen, and know when to back off.
  4. Team leaders need to be involved.  They need to be sensitive to the pressure and the needs of their teams.  And they need to reward and recognize individual accomplishments.
